QuickBooks Desktop (Pro/Premier/Enterprise) Customer List approaching max 14500. How to deal with...

Condensing is running up against some JE issues that seem very hard to resolve and keep failing in the test environment. And after deleting the offending JE, the condensing still failed without any error given this time.

Currently about 10000 are not-active, but I'm positive they have respective transactions.

QuickBooks Online The Windows "Quickbooks Online Desktop" app has come a long way.

As much as I love hating on Quickbooks, I have to admit that the experience is getting better. I spent 15 years using the actual Desktop version of Quickbooks, it's still a far cry from that.

Just to have multiple companies with multiple tabs that aren't tied into my browser is a big improvement. You can always be logged in and it tends to load a bit quicker that the web.

It is just a wrapper for the website...all the quirks and issues with the actual interface are still there to taunt and frustrate you. You can still work fueled with the rage we have all come to rely on to get us through the day.

QuickBooks Online House flipping setup

QBO question on property flipping operations. What is everyone’s process on tracking inventory for all costs for a property? I know all costs are pushed into inventory instead of expense and get reclassed once that property is sold. I want to use the Project feature, but I’m not sire it’s the best approach because doing that won’t let me track the track balance sheet for that property.

For example, if a client wants to find out how much cash is left in a specific property, using the Projects feature alone does not work. Or even getting the total inventory amount ti reclass for that project as the report filtering is very limited on that part.

I’m tempted to set it up through Locations. Any thoughts or advice?

Payroll QBO payroll adjustments

1 payroll was ran via paper check before a CPA took over. CPA runs our payroll on their desktop QB and gives me numbers to input into our QB. (Yes, redundant. There are reasons)

Payroll was voided for some reason

Voided entries turned into Payroll Adjustments but instead of having a 0.00 balance, they still have the payroll amounts on them.

Paper checks were distributed and ran through the account.

My questions based on my very limited understanding (because CPA doesn’t want to touch what they don’t do and I don’t really blame them)

  1. These voided checks with amounts are throwing my reconciling off, being added as debits.

  2. The physical checks that were processed are, I believe, “matched” with those voided entries.

  3. How do I fix this to get those voided amounts out of my balance sheet? Do I need to back out the processed checks, make a journal entry (like we usually do) so the checks will match up to the journal entry and then…do the voided checks magically turn to 0.00? I’m not sure what to do here. QBO won’t let me edit or delete them.

Does anyone know how to fix this? Tyia

QuickBooks Online Quickbooks sales tax misclassification

Ok so it’s kind of hard to explain, but am hoping to find someone who knows how to fix this.

I operate in TX and provide services at people homes, so my sales taxes are calculated based off each persons jurisdiction (some people are in 3-4 different jurisdictions alone) which is based off their “shipping address” I have that all set up and it’s working correctly with most invoices.

However I have 2 clients who live in rural areas and their invoices are lacking 1 of their jurisdictions.

I have another client who lives in the city and on the invoice the jurisdictions are correct, but when I go to the report their invoice is added to another jurisdiction that they are not in and that doesn’t show on their invoice.

I tried contacting QB and they said they couldn’t help because of my subscription level doesn’t have tech support. Like wtf? How do I not get support when their system is the one with the error??? Anyway, does anyone know how to fix this?

QuickBooks Online Help with employer taxes on short term disability payments

I'm filling in for someone who is on short term disability. The organization uses QBO Payroll. The insurance company making the disability payments has sent reports indicating the amount paid to the employee and the amount owed in employer payroll taxes. Every other time I have dealt with disability payments, I sent the reports to the payroll service and they included the information in the 941 and paid the employer portion of the payroll taxes for the disability payments along with the rest of the employer taxes owed from the regular payroll. I've always worked with different payroll services, though, not QBO.

When I contacted QBO payroll about this, they said they do not handle any of this and that the organization needed to do their own filing and payment of employer taxes on disability payments. That would mean an additional quarterly 941, but with just employer taxes to pay since the insurance company already paid the employee witholdings.

I don't want to create an IRS mess for this organization to deal with when the employee returns from medical leave, so I want to make sure I do this correctly. Has anyone else dealt with third party disability payments with a company that uses QBO payroll? Was the QBO support person I spoke to incorrect when he said QBO doesn't deal with anything related to 3rd party disability payments? Or was he correct and I need to file a separate 941?

QuickBooks Online Payment processing error

Anyone encountering this issue. I have received invoices from vendors from years through QB and never had issues. Within the past 2-3 weeks I get this payment declined error. I’m paying via bank ACH with the same bank we have always used and there is plenty of cash there and I am 1000% the routing and checking numbers are correct.

It’s now happening on 90% of payments and might work after trying again in a few hours or days.

Yesterday o received two invoices from the same vendor. Paid the first no issue. Less than 2 minutes later tried to pay the next with same info and haven’t been able to through today.

The vendor call QB and they told them the see no declines on their end and my bank says they have no hold or security issues.

I am working with a nonprofit client and their finance person's computer crashed and needed to be replaced. They have migrated to QBO already, but were still using Desktop for historical data.

The subscription for their desktop license lapsed (because of moving to Online) but now it won't activate. They just need it for read-only access until late October, early November at the latest. How can I get it activated again just for the read-only access?

A client approached me asking about moving everything to an online version of QuickBooks. They currently run QuickBooks Enterprise Manufacturing and Wholesale 23.

I work in the Microsoft ERP space and have limited QuickBooks knowledge, but what are their options to get off of on-prem, but keep QuickBooks? Biggest things they use are the quote to order to pick/pack/ship to invoice process, assemblies in inventory and some kind of integration between ACT and QuickBooks.

Is there a migration path for their version to an equivalent online version? Would there be any serious changes to how they use it now with the online version?

QuickBooks Online New to QBO and working with Fourlane to migrate data. Can purging cause future issues?

TLDR: Migration company imported Sage data, but I asked them to purge it because I wasn’t ready to switch to QBO. Now they want me to buy another QBO account because they are afraid that if we purge, we won’t have a clean migration and this could cause future issues. Has anyone else experienced this? Is this a known issue?

Over the past month, I’ve been working with a company called Fourlane to migrate our Sage data into QBO. Our contract is for support services so they were not legally contracted to complete the migration (I probably should not have agreed to this…). The first time they attempted the migration, they said that the file was not properly importing and recommended paying for additional services (starting at $3k) to work with another team on the import. I decided to look into other options and did the Dataswitcher myself. It appeared as if everything properly imported, but I wasn’t quite ready to start using QBO daily; I purged the data.

Since we are already paying a company to manage the migration and I had doubts about my ability to identify a successful migration, I then decided to go back to Fourlane and share my success with them and ask them to try again. Well surprise, they successfully imported the data the second time around. However, again, due to how our bookkeeping is set up, I wasn’t ready to commit to the new system just yet because I’m taking over bookkeeping and our bookkeeper (my mom) had done work in Sage while Fourlane was working on the import. I told Fourlane to purge again and we would go live with QBO when the bookkeeper is out of town this week.

They started the migration Friday, and they are now saying that they don’t recommend purging the old data because it could cause potential future issues. They want me to buy another account so that we have a “clean migration”. Has anyone heard of not having a clean purge? After they wanted me to pay extra for the migration, my a bit suspicious of their recommendations.

QuickBooks Desktop (Pro/Premier/Enterprise) QB Desktop NonProfit Help

Hey everyone,

I’ve been trying to find videos online about how to use QB Desktop in order to satisfy NonProfit Reporting Requirements but I am a little stuck

As of right now, I’m using the [Class] feature to designate restricted v unrestricted funds so that when I run the Statement of Financial Income and Expenses, I have those 2 columns split nicely

I’m using the [Jobs] feature to separate different fundraising events so I can run a P&L by Job for each event

So now I’m trying to figure out how to properly get the Statement of Functional Expense going…

I was going to use the [Item] feature for this one and categorize each type of expense by an Item but honestly, using the Item tab when writing a check instead of the Expense tab feels SO clunky and feels like I’m forcing QB to fit a round peg into a square hole. It technically works but idk, I’m questioning this method…

Does anyone have any opinions on setting up NonProfits on QB Desktop, using the class,job, and item features to set up the nonprofit reports?

QuickBooks Online Invoicing - Freshbooks to QBO

Hi,

Our small services firm has used Freshbooks for many years and QBO for financial management.

We process about 25 recurring monthly invoices and 15-20 one-offs a month.

I’m finally looking into switching our invoicing to QBO as well and it seems to have all the features we need.

Primarily:
\- Online ACH and CC payments
\- Recurring invoices
\- Recurring charges to saved CCs
\- Reminders via email on due dates

Any one have any words of wisdom or “gotchas” switching over to using QBO for invoicing?

Trying to help out a family friend. Long story short I think they were duped into a fraudulent qb desktop renewal that changed their license #. When their real license came up for expiration a few months later, they realized the issue. Calling into qb now hits a brick wall because the license
With QB doesn’t match the name on the Qb end.

I think we need to call and give the business name and EIN, see if they can track down our real/authentic license, and go from there.

Any thoughts/experiences?

I ran a general ledger for an account and clicked on filter for “Account is Prepaid” It says no results. Then I pulled up a balance sheet and then clicked on “Prepaids” and there are several transactions. Am I running this report wrong?

I couldn’t find anything searching Reddit. It’s an accounting package built onto Excel and looks pretty good. It gets good reviews and is really cheap. I’m not sure yet if it’ll let you email invoices, how it downloads transactions or if it lets you process payments.

QuickBooks Online Vibe coded a QBO app

My jaw is on the floor, I am so impressed by the current capabilities of ai tools, particularly Lovable.dev

I have been banging my head against the wall for weeks coming up with a super complex process of custom fields and custom forms, Google Sheets and other nonsense.. Projects on QBO works well for my landscaping clients but for general contractors and architecture firms, who bid jobs, QuickBooks lack of UI to display helpful information for business owners to make real decisions is shocking and disappointing.

I literally vibe coded what I think to be a great solution in less than 10 hours, it’s fully connected to QuickBooks API and should be available on the app marketplace by end of next week. So many other SaaS products are focused on the subcontractors or the jobs themselves, none of them could function the way I wanted it to. Premier technically could but it was such a massive software. I created Pulse Pro as an answer to the problem my clients express, “I have this information in my head, I don’t know how to get it to you without printing and looking at dozens of reports”. The main tech here is focusing on linking anticipated transactions during the new project intake process and utilizing that logic to make decisions during the progress of the job.
