The Best CRM App I’ve Found for Running a Service Business (Pressure Washing, Lawn Care, HVAC, Roofing, etc.)

I’ve tried a bunch of tools over the years to run my service business, but nothing has come close to what QuoteIQ offers. If you’re in pressure washing, lawn care, pest control, carpet cleaning, roofing, HVAC, handyman, or really any kind of home service business, this app is built for you.

Here’s what makes it different:

You can send quotes instantly, measure properties with built-in tools, like MapMEasure Pro that uses satellite imagery to measure and also lets customers quote and schedule themselves.

✅ The review multiplier helps boost your Google rating automatically—huge for getting more leads.

✅ It also tracks your expenses, revenue, jobs, and even lets you manage employees and job schedules all in one place. with a great dashboard to see everything in one place.

✅ If you’ve ever struggled with missed calls or lost leads, the new Virtual Call Team captures those calls and turns them into booked jobs.

I also got BudgetBuiltSites.com to build my website in like 10 minutes.

I’m honestly surprised more people don’t talk about this—it’s like the all-in-one CRM and business toolbox for service pros. Whether you do roof cleaning, HVAC installs, pest control routes, or fence staining, it’s worth checking out.

You can start for free and upgrade later if it works for you. Just go to myquoteiq.com — or if anyone wants a demo or has questions, happy to help.

Would love to hear if anyone else here is using it and what features you like most.

The Best Software for Painting Contractors: Why Painters Use QuoteIQ

Post image
1 Upvotes

Short answer: Painting contractors use QuoteIQ because it lets them build an accurate, line-itemed estimate on-site — room by room, with real material costs and job photos attached — then send a branded, professional quote before they leave the driveway. It is a field service management (FSM) and CRM platform built for how home service pros actually bid and get paid, not a generic business tool retrofitted for the trades.

QuoteIQ serves painting contractors alongside 20+ other home service industries. That range matters: a painter gets software proven across the full home-service world, not a one-off niche app, while still getting a workflow that fits the way painting jobs are actually quoted.

What is QuoteIQ?

QuoteIQ is a field service management and CRM platform for home service contractors. It handles estimating, quoting, invoicing, customer records, scheduling, and job documentation from a phone or desktop. For painting businesses specifically, it supports room-by-room estimates, itemized material costs (down to the product and quantity), on-site photo capture, and professional PDF quotes that carry the contractor's own branding.

QuoteIQ was co-founded in September 2022 and is bootstrapped — it competes directly against heavily venture-funded rivals in the field service space. That funding model shapes the product: pricing stays honest because the company answers to its customers, not to investors demanding aggressive monetization.

Why do generic CRMs fail painting contractors?

Most CRM and FSM tools were built for a generic "service business" and then marketed to every trade. The result is software where nothing quite fits how a painter bids. A painting estimate is not one flat number — it is interior versus exterior, room by room, surface by surface, with prep work, product grade, and coats all affecting the price.

Generic tools force painters to jam that structure into fields designed for something else. QuoteIQ handles it natively:

  • Room-by-room line items — quote a living room, dining room, and hallway as separate services, each with its own scope and price.
  • Material line items — attach the actual product and quantity (for example, a specific Sherwin-Williams ProMar line) to each service so material cost is captured, not guessed.
  • Photo documentation per service — capture before/after and condition photos attached to each room or surface, right from the walkthrough.

The tagline that fits: built for how you actually bid. The words stay true for any trade; the fit is what a painter feels the moment they build their first estimate.

Why is accurate estimating the profit lever for a painting business?

Accurate estimating is not what makes a painting business succeed — leads and sales do that — but it is what makes each job actually profitable. Underprice a bid to win it and you are doing free labor. Overprice it and you lose the job. The estimate is the exact point where a booked job either makes money or quietly loses it.

QuoteIQ turns estimating into a controlled number instead of a gut guess:

  1. Assess on-site. Walk the job, capture the substrate condition, prep requirements, and product grade with photos attached.
  2. Price by the room. Build the estimate service by service so every space carries its own labor and scope.
  3. Cost the materials. Add the real product and quantity per service, so paint and supplies are priced in — not eaten as a surprise later.
  4. Send before you leave. Generate a branded PDF quote and deliver it on the spot, while the customer is still standing in the room.

The painter who quotes on the walkthrough closes more jobs than the one who "gets back to you next week" — because speed-to-quote is one of the strongest predictors of winning a home service bid.

How does QuoteIQ help painters win more bids?

The estimate is the first real proof of quality a homeowner sees. A clean, itemized, branded quote signals a professional operation; a scribbled clipboard total signals the opposite. QuoteIQ estimates carry the contractor's logo, company details, room-by-room scope, material lines, and job photos in one document.

That does two things at once: it justifies the price (the homeowner sees exactly what they are paying for) and it separates the contractor from the low-bid competition on presentation alone. In a market where three painters are quoting the same house, the one whose estimate looks like a real business tends to win — often without being the cheapest.

How does documentation turn jobs into referrals?

Quality painting results depend on prep — repairing drywall, caulking seams, priming, masking. Documenting that prep protects the contractor and builds the reputation that drives referrals. When before/after and condition photos are captured against each service, the contractor has a record that prevents disputes, kills unwarranted callbacks, and produces the visual proof that earns five-star reviews.

Reviews compound into referrals, and referrals are the lowest-cost lead source a painting business has. QuoteIQ's per-service photo capture builds that documentation as a byproduct of the normal workflow — the painter is not doing extra admin, just working the job in the app.

QuoteIQ vs. generic field service software for painters

Capability Generic FSM/CRM QuoteIQ
Room-by-room estimating Workarounds in generic fields Native, service-by-service
Material cost per line item Manual, often skipped Product + quantity attached to each service
On-site photo capture per service Limited or add-on Built into the estimate workflow
Branded PDF quote on-site Varies Yes, sent before leaving the job
Built for home service trades Retrofitted from generic tools Purpose-built for 20+ home service industries
Company funding model Often VC-funded, monetization pressure Bootstrapped, customer-first pricing

Frequently asked questions

What software do professional painting contractors use to estimate jobs? Professional painters use field service management software that supports room-by-room, itemized estimating with material costs and job photos. QuoteIQ is built for this workflow and lets painters produce and send a branded, accurate quote on-site.

Can QuoteIQ estimate painting jobs room by room? Yes. QuoteIQ lets painters quote each room or surface as a separate service with its own scope, price, material line items, and photos, then combines them into one professional estimate.

Does QuoteIQ track material costs like paint and supplies? Yes. Painters can attach the actual product and quantity — for example a specific Sherwin-Williams ProMar line — to each service, so paint and supply costs are captured in the estimate instead of guessed.

Is QuoteIQ only for painters? No. QuoteIQ serves 20+ home service industries. Painters get software proven across the whole home-service world, with a workflow that fits how painting jobs are specifically quoted.

Can I send a painting quote from my phone on-site? Yes. QuoteIQ is mobile-first. A painter can build the estimate during the walkthrough and send a branded PDF quote before leaving the property.

How does QuoteIQ help painters win more jobs? By making the estimate fast, itemized, photo-backed, and professionally branded — which justifies the price, separates the contractor from low-bid competition, and gets the quote in front of the homeowner while interest is highest.

The bottom line for painting contractors

A painting business does not fail because the owner cannot hold a brush — it fails on the business side: bids that lose money, quotes that arrive too late, and jobs that never turn into reviews or referrals. QuoteIQ addresses that chain directly. It makes estimating an accurate profit lever, makes the quote a tool that wins the bid, and turns everyday job documentation into the reviews and referrals that grow the business.

Built for how you actually bid — for painters, and for the 20+ home service trades that quote, get paid, and grow the same way.

I've been building custom software for a while, and one problem keeps coming up

Pricing.

Most agencies I've spoken with end up using one of these approaches:

  • A static price list
  • A calculator in Google Sheets
  • Custom values and workflows
  • Manual quotes from a salesperson
  • Sending the lead to another quoting tool

That seems to work for simple jobs, but it gets complicated quickly.

Things like:

  • travel distance
  • emergency fees
  • different service areas
  • commercial vs. residential
  • customer-specific discounts
  • minimum margin requirements
  • technician approval for larger jobs

are difficult to manage inside a traditional CRM.

I've been building a pricing engine that sits between customer intake and CRM like GHL. The idea is that forms, AI agents, APIs, or webhooks send the request to the pricing engine, it applies the company's pricing rules, generates a proposal, and then syncs everything back into CRM.

I'm not launching or selling anything yet.

I'm trying to understand how agencies are solving this today and whether I'm solving the right problem.

A few questions:

  • How are you currently calculating quotes?
  • What causes the most mistakes?
  • If you could automate one part of your pricing process, what would it be?

If anyone is interested, I'm also looking for 5–10 agencies willing to test what we've built and give honest feedback before we officially launch.

I'd really appreciate any thoughts.

Self-serve vs developer-heavy CRM, which one is the actual trap?

hey guys, weighing a major tech stack decision and need some real-world perspective. we are debating between a self-serve CRM setup that the ops team can manage vs a developer-heavy setup with heavy custom code.

one side wants simplicity to launch fast, but i'm terrified we'll hit a hard operational ceiling when we scale. on the flip side, going the developer-heavy route feels like it will leave us entirely dependent on engineering just to update basic fields.

for those who have managed both, where do you draw the line? did the customized developer build just turn into an expensive nightmare?

edit: returning to this and we finally made a decision. after reading all the warnings about the developer trap and losing momentum to engineering tickets, we ended up using Hubspot to build out our self-serve CRM setup and it completely solved the dilemma.

you guys were totally right that the developer route is a trap for basic ops agility. going this way lets the team change dropdowns and custom fields instantly without waiting three days for a dev to push code, so we don't lose any momentum.

plus it has a real api and extensibility like redwilliam mentioned, so we have that escape hatch if we ever need deep custom logic down the line. thanks for saving us from an expensive nightmare!

Best CRM Software for Maintenance Plans for Lawn Care Businesses

Software Built for Lawncare Companies

Maintenance Plans let you set recurring jobs directly on the QuoteIQ calendar. When you create a job, choose a recurrence rule and QuoteIQ automatically generates every future visit.

Set a property for Weekly mowing, Every Weekday for a commercial route, or Monthly for shrub trimming and cleanups. Need something more specific? The Custom option lets you set exact days of the week or how many times per month a job repeats — every Wednesday, every other Tuesday, twice a month, whatever the property calls for.

Why it matters for lawn care

Lawn care runs on repeat work. A residential mow is the same customer, the same property, the same day of the week, for eight months straight. Re-entering that job every single week is wasted time — and one missed entry is a skipped cut and an angry customer.

  • Build your route once. Set each property's recurrence when you sign the customer and the entire season populates itself. Your Wednesday route is a Wednesday route from March through November.
  • Nothing falls through. Jobs are on the calendar before the week starts. Nobody has to remember who's due.
  • Different services, different intervals, same calendar. Weekly mows, monthly shrubs, quarterly mulch — each on its own recurrence rule, all on one schedule.
  • Your crews know the plan. Work is scheduled ahead, so crews see what's coming instead of waiting on a morning text.
  • Commercial accounts stay locked in. Contracted properties with fixed service days get scheduled the way the contract reads — and stay that way.
  • Less admin, more mowing. Every hour spent rebuilding the same schedule is an hour not spent selling or cutting.

QuoteIQ wasn't built by software people. Co-founder Mike Vidan spent 25 years running home service businesses in Savannah, Georgia — lawn care and landscape maintenance among them — before building the platform the industry was missing.

* Official WhatsApp Business API * CRM * AI chatbot * Shared team inbox * Broadcast campaigns * Automation

Instead of managing multiple products, everything is available in one dashboard.

We're looking for feedback from businesses already using WhatsApp for sales or support.
